We're not going to lie... when you hire a billing company it's their job to help you with your billing. They will do that. But we do every aspect of that (and then some!) better than others, and here is why we have a high success rate of quick payments and 99.8% re-claimed.
They will process your billing via electronic billing.
YOU are required to keep a spreadsheet of all of the clients you have seen.
YOU will need to upload all EOB’s that you receive.
They will send you a monthly report of what each client owes or needs reimbursed.
YOU will need to collect or distribute.
They will deposit money into your bank account.
YOU will need to go back track down which client paid what and how much.
We track your schedule within your EHR (like TherapyNotes) account. We are added as a biller and scheduler on your account. This allows us to quickly respond to any changes that occur. We track clients seen on a spreadsheet that will show you at a glance – client seen, DOS, copays, coinsurance, deductibles, insurance company, what was paid by the insurance company, what was paid by the client, your monthly cash flow, and all outstanding bills.
DAILY ELECTRONIC BILLING
We log in daily to your account and check to see that there haven't been any changes to the schedule. We also send off all electronic billing. Your EHR charges per claim, but it is well worth it because they have never made a mistake on a claim. They can be tricky – costing you time and money. This small expense keeps everything in your EHR account. It's worth it!
CLIENTS ARE BILLED
On a weekly basis, clients seen that week are billed with their copays via their credit cards on file. (Please note, most credit card companies will charge a fee of 2.6%.) We also send a individual email to each client with their receipt for that copay. Clients appreciate this personal touch, and it also allows them to keep track of all paid amounts. In addition to this being tracked in your EHR, it is also tracked on your monthly spreadsheet.
When you have a new client (YAY!), all you need to do is inform us that their status is new and then upload any personal documents into your EHR. We will add all of their information to their account, and make sure their billing is ready to go. We will also run any requested insurance quotes on new clients.
On a weekly basis, we reach out to each individual insurance company and download all EOB’s. This information is added to your monthly spreadsheet, and your EHR account.
It's bound to happen. Credit cards go out-of-date, insurance isn’t paid (because some clients have a hard time with high deductibles), and problems occur. You are alerted about these issues on a weekly basis. No surprises.
On a monthly basis, you will receive completed spreadsheet for that month. We will also update you on any outstanding bills for that month or previous months. Rest assured, we don’t stop tracking a payment until it is fully paid – both the insurance company and client. We will make sure that clients are not over-billed.
